That single difference — billing at the job instead of billing on Sunday night — is the biggest lever on cash flow available to a small service business.   4. Receipt capture that does not involve typing. Photographing a parts receipt at the counter takes seconds. Entering it from a shoebox in April takes a weekend and you will miss deductions.

Structured e-invoicing keeps spreading

Machine-readable invoice formats are becoming mandatory across Europe on a rolling schedule — Germany’s B2B phases and the EU’s wider VAT modernisation are the visible edge. The United States has no federal e-invoicing mandate and none announced, so for a US trade business this is not a 2027 compliance problem. It matters only if you bill customers in the EU or supply larger firms that are standardising early. Anyone telling US contractors they must buy new software for e-invoicing compliance in 2027 is selling something.

Receipt scanning stops being a premium feature

The Form 1099-K threshold stays at more than $20,000 and more than 200 transactions after the 2025 tax law restored it retroactively. Plan your records around that being stable — and remember it governs paperwork, not liability: every dollar is reportable regardless.

Just you

A one-time-purchase app. You are not managing a schedule for anyone else, so you are paying purely for invoicing and records, and a recurring bill for that is hard to justify over five years. Offline capability matters most at this size because you have nobody back at an office to fix a failed sync.

You and one or two helpers

Still a flat-fee app, plus a shared folder for photos. Add real field-service software when you start losing money to scheduling mistakes rather than invoicing ones — that is the actual trigger.

Three or more, with a dispatcher

A job-site invoicing workflow that works

The tool is a third of it. This is the routine that turns same-day invoicing into a habit:

  1. Before you start: photograph the problem. This is your before shot and your scope record.
  2. Build the estimate on site and have the customer approve it before work begins. Verbal approvals are the origin of most disputes.
  3. Photograph parts receipts at the counter, not at the end of the week. Scan them into the job while you are standing there.
  4. Photograph the finished work before you pack up.
  5. Convert the estimate to an invoice on site — do not retype it — adding any approved extras.
  6. Have the customer sign on the screen to accept the completed work.
  7. Send it before you leave the driveway. If there is no signal, save it and let it send when you get one; the invoice is already finished either way.
  8. Let the reminder run automatically at day seven. Never chase manually; you will forget, and forgetting is expensive.

Common mistakes when buying a field app

  • Believing "mobile app" means "works offline". It usually does not. The catch is that most apps look fine on a weak connection and only fail when there is none at all — so test with airplane mode, not with one bar.
  • Buying dispatch software for a one-person business. Scheduling features you never use are the most common source of overspend in this category.
  • Optimising the subscription and ignoring the processing rate. At $60,000 invoiced a year, one percentage point of card fees is $600 — more than most subscriptions cost.
  • Choosing a tool your phone cannot run in the truck. If it takes eight taps to raise an invoice, you will go back to invoicing on Sunday night, and the tool has failed no matter what its feature list says.
