Disclosure: this site is published by the makers of Daily Invoice Maker, one of the products compared below. We have an obvious interest in it, so we have tried to earn your trust the only way a vendor can: every competitor price is quoted from that vendor’s own pricing page with the date we checked it, and each article includes a plain list of the jobs our app cannot do. Where a competitor is the better answer, we say so.
Quick answer

For a small business that mainly needs to send invoices and get paid in 2026: Wave and Zoho Books Free send unlimited invoices for $0, Square Invoices is the easiest for card-on-file and in-person work, and Daily Invoice Maker ($149.95 once, or $5.95/mo) is the cheapest over five years and the only one here that works with no internet at all. But the subscription is rarely the real cost — payment processing fees are, and at $5,000 a month invoiced they dwarf every price difference below.

The mistake in every invoice software comparison

Comparison articles rank invoicing tools by monthly price. That is the small number. Here is the arithmetic that actually matters for a business invoicing $5,000 a month:

Cost Per year
Invoice software subscription (typical $19/mo)$228
Card processing at ~3% on $60,000 invoiced$1,800
Same volume paid by ACH at ~1%$600
Same volume paid by check or bank transfer$0

Moving customers from card to ACH saves roughly $1,200 a year at that volume — more than five years of any subscription on this page. Choose your software for how well it nudges customers toward cheap payment methods, not for a $6/month difference.

The 2026 comparison

How we compared: we read every price below off each vendor’s own pricing page in September 2026 rather than copying other comparison articles — when we checked, several widely-cited roundups were a full tier out of date, and two quoted promotional rates as if they were the real price. We deliberately list renewal pricing, not the introductory discount. Where a vendor’s published rates were ambiguous, we say so in the article instead of guessing.

All prices are the vendor’s published list price for monthly billing in US dollars, checked September 2026. Nearly every vendor runs an introductory discount (often 50–90% for 3–6 months); those are excluded here because the renewal price is what you actually live with. Payment processing fees, payroll and add-ons are billed separately unless noted. Verify current pricing before you buy — these change often, and several changed during 2026.

Which one, by situation

You want free and you have internet everywhere

Wave Starter. Unlimited invoices, a real ledger underneath, no cost. The catch is that automatic bank-transaction import sits behind Pro at $19/mo. If you are happy entering expenses yourself, the free tier is genuinely complete.

You take card payments in person as well as by invoice

Square Invoices. One system for the counter and the invoice, card-on-file for repeat customers, and the free tier is fully functional. You pay for it in processing rates rather than a subscription.

You work where there is no signal

Basements, crawl spaces, rural properties, gated backyards, job sites with no coverage. Every cloud tool above needs a connection to create an invoice. This is the specific gap Daily Invoice Maker was built for — we designed it to store everything locally, so it needs no connection to write, save or print an invoice. That single decision is also why it has no bank feeds: the trade-off for working anywhere is that nothing syncs from your bank.

You have many small clients

Avoid FreshBooks Lite — the 5-client cap bites almost immediately — and avoid Xero Early if you send more than 20 invoices a month. Wave or Zoho are the better shape for this.

Your accountant wants everything in one place

QuickBooks Simple Start. More than you need for invoicing alone, but if your bookkeeper is already there, that is worth real money. See the accounting comparison for the full picture.

How to actually get paid faster

The software matters less than the process wrapped around it. In order of impact:

  1. Invoice the same day the work finishes. The single biggest lever on payment time. An invoice sent nine days later is paid at least nine days later, and often much more.
  2. Put the due date in absolute terms. "Due October 3" is paid faster than "Net 30", because nobody calculates Net 30.
  3. Offer ACH as the default and card as the fallback. Cheaper for you, and most business customers prefer it.
  4. Attach photo proof of the completed work. Disputes and slow-walking drop sharply when the invoice shows the finished job.
  5. Get a signature at completion where you can. A signed acceptance is the strongest defence against a chargeback.
  6. Automate the reminder at day 7, not day 30. A polite nudge one week in is normal and effective; a first chase at 30 days reads as an escalation.
  7. Charge a late fee and say so on the invoice. Stating the policy usually works better than enforcing it.

What Daily Invoice Maker does not do

Being straight about this saves you a refund request and saves us a support ticket. Our app is invoicing, estimates, expenses and tax-ready reporting. It is not a general ledger. It does not do:

  • Live bank feeds or bank reconciliation. There is no bank connection. You enter or scan expenses; nothing auto-imports from your account.
  • Double-entry accounting, a balance sheet, or a trial balance. If your accountant asks for those, you need a ledger package.
  • Payroll. No W-2s, no payroll tax filings.
  • Accounts payable. It tracks what customers owe you, not a formal bill-payment workflow for what you owe suppliers.
  • Inventory valuation, COGS or accrual-basis reporting. If you carry stock, you need real inventory accounting.
  • Multi-user real-time collaboration or an accountant login. It is a single-operator tool.

If you need any two of those, buy a ledger package and stop reading comparison articles. If you need none of them — which describes most solo trades, freelancers and two-person service shops — you are being asked to pay a monthly subscription for machinery you will never switch on.

Frequently asked questions

What is the best invoice software for a small business in 2026?

Wave and Zoho Books both send unlimited invoices free, Square Invoices is best when you also take payments in person, and Daily Invoice Maker at $149.95 one-time is the lowest five-year cost and the only option here that works fully offline. Choose on payment processing fees rather than subscription price — at any real volume the fees are far larger.

What is the cheapest way to send invoices?

Free tools such as Wave Starter or Zoho Books Free cost nothing for unlimited invoices. The larger cost is processing: cards run around 3% while ACH bank transfers run around 1%, so steering customers to ACH saves more than any subscription difference.

Can I send invoices without an internet connection?

Not with cloud tools like Wave, Xero, FreshBooks, Square or QuickBooks Online, which all need a connection to create an invoice. Desktop applications that store data locally can create, save and print invoices offline and send them once a signal returns.

How many invoices does Xero’s cheapest plan allow?

Xero’s Early plan at $25/month is limited to 20 invoices and 5 bills per month as of September 2026. Beyond that you need the Growing plan at $55/month.

How do I get customers to pay invoices faster?

Invoice the same day the work finishes, use an absolute due date rather than "Net 30", offer ACH as the default payment method, attach photo proof of the finished work, collect a signature at completion, and send an automated reminder at day seven rather than day thirty.
