How-to

How do I attach job photos to an invoice?

Quick answer

Attach the photos to the invoice record itself so they print on the PDF the customer receives, rather than texting them separately. In Daily Invoice Maker photos attach to invoices, estimates and service log entries, and appear on the exported PDF under the line items as before-and-after evidence of the work.

Photos are the cheapest dispute insurance a service business has. The problem is almost never taking them — it is that they end up in a camera roll instead of on the document the customer is looking at when they decide whether to pay.

Step by step

1

Take the photos before you start

Condition on arrival is the half people skip, and it is the half that matters when someone claims the damage was yours.

2

Open the invoice or estimate for that job

Photos attach to the record, not to a general gallery, so they stay tied to the job they document.

3

Use Attach Pictures

Add the images to the record. They are stored with the job rather than linked from somewhere else, so they survive independently of your phone's camera roll.

4

Take the after photos and attach those too

Before-and-after side by side is what makes the work legible to someone who was not there. One photo of a finished job proves much less.

5

Export or email the PDF

The attached photos print with the invoice, so the customer sees the evidence and the charge on the same document.

6

For recurring work, use the Service Log instead

For routes and repeat visits, log photos against the visit in Service Log. That builds a history per property rather than per invoice.

What usually goes wrong

Photos that live only on a phone

A photo you cannot produce six months later is not evidence. Attaching it to the job record is what makes it retrievable.

Only after photos

Without the before shot you can demonstrate that work happened but not what condition you inherited — which is the actual dispute.

Sending photos separately

Texted photos get lost in a thread. On the invoice they are in front of the customer at the moment of paying.

Questions

Do the photos appear on the PDF the customer gets?

Yes. Attached pictures print with the invoice under the line items, so the customer sees them alongside the charge.

Does attaching photos need internet?

No. Photos attach and store locally, so it works at the job with no signal.

Will lots of photos make the app slow?

Photos are stored with the record and do add to the database size. Keep to the shots that document the work rather than everything you took.

Can I attach photos to an estimate too?

Yes — estimates support attached pictures as well, which is useful for showing a customer the problem you are quoting to fix.
