What belongs on a hvac invoice

Equipment make, model and serial

Record the unit you worked on. It settles warranty questions later, and on a second visit it saves you diagnosing a system you have already seen.

Refrigerant type and amount

Log the refrigerant and pounds added. It is required record-keeping in many jurisdictions and it is the single most disputed line on an HVAC bill.

Readings you took

Superheat, subcool, static pressure, temperature split. A customer who sees measurements believes the diagnosis; one who sees only a price questions it.

Maintenance agreement credit

If the customer is on a plan, show the discount as a visible line. An invisible discount earns you no goodwill and no renewal.

What still needs doing

Note deferred work — the aging compressor, the undersized return. It documents that you told them, and it is the origin of most follow-up jobs.

Licence and EPA certification

Include your contractor licence and EPA 608 certification number where required. It is often a legal requirement and it separates you from the unlicensed.
